Privacy Policy

Last updated: 20 August 2026 · Applies to the Klockora web app (app.klockora.com) and the Klockora mobile apps for Android and iOS.

Klockora is a WhatsApp-based attendance platform operated from Ahmedabad, India ("Klockora", "we", "us"). Companies sign up to track their team's attendance; their employees interact with Klockora over WhatsApp. This policy explains what we collect, why, and the choices you have.

Information we collect

Account data. When a company registers we collect the company name, the administrator's name, email address, and a password (stored only as a secure hash).

Employee data provided by the employer. Employers add their employees' names, employee codes, WhatsApp phone numbers, and optionally designation, department, joining date, and salary used for payroll calculations.

Attendance and location data. When an employee punches in over WhatsApp, we receive the message text and, where the employer requires it, the WhatsApp location the employee chooses to share. Location is used once to verify presence within the employer's configured office radius and is stored with the attendance record. Klockora does not track location in the background and the mobile app for administrators does not access the device's GPS at all.

Messages. We process WhatsApp messages sent to the employer's attendance number solely to operate attendance commands (punch in, breaks, leave, status). Messages from numbers not registered as employees are not processed by Klockora.

Device data. If an administrator installs the mobile app and allows notifications, we store a push notification token so we can deliver attendance alerts. Standard server logs (IP address, timestamps) are kept for security and debugging.

How we use information

We do not sell personal data, show advertising, or use your data for marketing to employees.

Sharing

Data is shared only with the service providers needed to run Klockora: cloud hosting and database providers, WhatsApp Business messaging providers (messages travel via the WhatsApp Business Platform operated by Meta), and Google Firebase for push notifications. Each processes data on our instructions. Attendance data belongs to the employer, and the employer's authorised administrators can see it.

Retention

Attendance and payroll records are kept for as long as the employer's account is active, because they form the employer's statutory records. If a company account is deleted, its data (including all employee records) is permanently deleted from our production systems. Backups age out on a rolling basis.

Your rights

Employees: your employer is the controller of your attendance records; direct access or correction requests to them, and we will assist. You can stop interacting with the service at any time by not messaging the attendance number. Administrators can disable push notifications in their device settings at any time. For any privacy question or deletion request, contact us at hello@klockora.com and we will respond within 30 days.

Security

All traffic is encrypted in transit (HTTPS). Passwords are hashed, WhatsApp provider credentials are encrypted at rest, and access to production systems is restricted. No method of storage is 100% secure, but we work to protect your data with industry-standard measures.

Children

Klockora is a workplace tool and is not directed at children under 16. We do not knowingly collect data from children.

Changes

We may update this policy as the service evolves. Material changes will be announced to account administrators by email or in the app. The "Last updated" date above always reflects the current version.
